Job Description

The Strategic Administrative Coordinator will support the Executive Director/CEO in various capacities. This role involves coordinating special projects and handling administrative tasks related to operational, fundraising and programmatic aspects. The Strategic Administrative Coordinator will provide support across departments, working collaboratively with other staff members.

Administrative Support:
  • Assist the Executive Director/CEO with meeting preparations, scheduling, room reservations and catering, and taking meeting minutes, ensuring timely distribution to relevant parties.
  • Draft and edit documents, letters, and reports, as needed.
  • Organize contact lists and maintain databases for easy access.
  • Manage both physical and digital files, records, and documents.
  • Oversee the Museum's email info account.
Office Support:
  • Maintain organized office inventory and handle supply orders to ensure smooth operations.
  • Submit and track maintenance work order tickets to ensure timely resolution.
  • Coordinate Information Services and AV needs to support organizational technology requirements and ensure seamless operations.
Liaison Duties:
  • Serve as a liaison between the Executive Director/CEO, board members, donors, and external partners.
  • Facilitate communication and collaboration between different Museum departments.
  • Coordinate contracted labor and assignments, ensuring alignment with Museum goals and objectives.
Special Projects:
  • Collaborate with the Executive Director/CEO to plan and execute special initiatives and events that align with the Museum's mission and goals such as accreditation and peer review visit coordination.
  • Provide logistical support for special projects, including coordinating venue arrangements, managing vendor relationships, and ensuring timely execution of tasks.
  • Assist in research and data gathering for special projects, contributing to the development of comprehensive reports and presentations to stakeholders.
  • Other duties as assigned.
Shift

40 hours per week, Monday - Friday, 8:30 am - 5:00 pm, with an occasional evening or weekend.

Minimum Qualifications

An Associate's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary.

  • Demonstrated success in time management, calendaring, and coordinating meetings.
  • Demonstrated success in file management, organization, and archiving records and technology proficiency (Outlook, OneNote, PowerPoint, Excel, Word, Adobe Acrobat).
  • A willingness to learnnew technologiesand processes.
Skills, Knowledge, and Abilities:
  • Excellent communication and interpersonal skills for effectively dealing with a broad range of individuals at various organizational levels.
  • Administrative experience with abilities to set priorities, organize and coordinate office operations, anticipate needs, work well under the pressure of deadlines, and exercise good judgment, particularly with sensitive or confidential matters.
  • Strong analytical and problem-solving skills and ability to cope with change and ambiguity in a fast-paced environment.
  • Strong self-motivation skills for independently establishing effective working relationships with various public organizations as well as University of Missouri Kansas City faculty and staff at all levels of the organization and demonstrated ability to work as a member of a team.
  • Demonstrated ability to work with confidential materials and information.
  • Demonstrated ability to produce excellent work under short timelines; attention to detail is required.
  • Demonstrated ability and comfort with multitasking.
Anticipated Hiring Range

$16.23 - $20.00 per hour commensurate with experience, education, and internal equity.
