Executive Assistant
Organization Description:
Street School, Inc is Oklahoma's longest running and most successful alternative education program serving at-risk high school students. Street School is a 501 (c)(3) partnering with the Tulsa Public Schools and the Tulsa Area United Way as well as a variety of foundations and state affiliates.
Position Summary:
Reporting directly to the President & CEO, works independently performing a wide range of complex and confidential administrative and clerical support duties. Knowledge of the nonprofit sector is a plus. Includes responsibility for executive office management as appropriate. This position also requires a high level of confidentiality, accuracy, and attention to detail. The primary duties are providing support for programs, grants, and administration, maintaining office operations, basic financial record keeping, payroll reporting to outside contractor, maintaining supplies, and working on special projects as needed. Core hours Monday-Friday 8:00-3:30, occasional after hours as needed.
Duties and Responsibilities:
o Provides wide range of complex office administration and support. Organize office and assist in ways that optimize and improve administrative processes.
o Manage database for donors, grants, volunteers, and program participants.
o Perform basic bookkeeping tasks including paying accounts via EFT or ACH & working with outside contracted bookkeeper, light internal bookkeeping, attendance to report to & working with contracted payroll service and obtaining signatures for and mailing checks.
o Ordering and taking stock of office supplies.
o May prepare spreadsheets for budgets, grants, or contracts
o Carry out all administrative/office duties; filing, typing copying, scanning, emails, type letters, maintain filing system, archives, and oversee day to day operations.
o Supports leadership's communication and correspondence
o Maintains appointment schedules by planning and scheduling meetings, conferences, teleconferences, and travel.
o Attends all staff meetings, department meetings, and any other meetings as required.
o Maintains the strictest confidentiality.
o Participate in fundraising events.
o Typical Requirements Education: High school diploma or equivalent.
Skills and Experience: Experience with proven office administration and customer service skills required. Solid working knowledge of office processes and business policy development, and of related computer software and electronic communications tools: Microsoft Office 365, Google Sheets & Docs
Work Environment: This position is on-site, meaning that work generally takes place in the office. Street School follows the Tulsa Public School calendar, which includes many paid holidays outside of annual vacation, and in instances of inclement weather or required quarantine, this position could possibly work remotely.
Mental and Physical Requirements: Physical effort is light, with lifting or carrying limited to 25 pounds intermittently. Occasionally, there is pressure associated with project or activity deadlines.
