Job Description

PURPOSE AND SCOPE:

The Administrator III, Accounts Payable is responsible for assisting the Accounts Payable Supervisor with proper administration of accounts payable transactions, ensuring compliance with internal controls and accounting procedures. Maintains and reconciles accounts payable ledger to validate changes and ensures accurate and timely payments. The role requires experience and judgment to plan and accomplish goals. Collaborates with adjacent departments to streamline processes and recommends improvements to accounts payable procedures. Responsible for reviewing and approving payment batches and responding to vendor inquires. Gaining exposure to some of the more complex tasks within the job function and will act on the Accounts Payable Supervisor's behalf in her absence.

ESSENTIAL JOB FUNCTIONS:
  1. Performs a variety of general accounts payable functions, such as reviewing invoice lists of AP specialists to ensure data is correct. Researching and resolving budget exceptions with a variety of internal and external contacts, and reviewing issues generated from exception reporting, kick-out logs, and Bill Capture Audits
  2. Prepare, audit, and reconcile reports for internal and external venders. Responsible for timely and accurate documentation and record keeping related to a variety of AP items, such as deleted vouchers, after-the-facts, vouchers lists, etc. Work in conjunction with other accounting department staff to accurately capture monthly/annual accruals
  3. Responsible for assisting with coaching, developing and scheduling work activities of backup staff, as needed, and in the absence of the Accounts Payable Supervisor. Helps identify and implement process improvements
  4. Reviews, verifies, and approves multiple pay cycles, weekly, maintaining confidentiality in accordance with LSC policies and with respect to financial information
  5. Responsible for preparation for 1099s and reporting to the IRS, for final review by the Accounts Payable Supervisor
  6. Maintains confidential information. Understanding and applying procedures & policies that support the Accounts Payable Supervisor
  7. Prepares year-end payables closing and accruals
  8. Supports the PeopleSoft system and the accounts payable modules. Tests bundles for system upgrades and new processes being implemented to ensure the process flow is accurate and all data is processed correctly
  9. Responsible for other reasonable related duties as assigned
KNOWLEDGE, SKILLS, AND ABILITIES:
  • Proficient in Microsoft Office applications with an advanced knowledge of Excel
  • Proficiency with software for running queries, and ERP programs like PeopleSoft
  • Strong analytical and problem-solving skills

PHYSICAL ABILITIES:

The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items, such as papers, books, or small parts; or driving an automobile. No special physical demands are required to perform the work.





WORK SCHEDULE AND CONDITIONS:

· Equipment used includes, PC workstation running on a LAN in a Microsoft Windows environment, calculator, phone, and other general office equipment
  • Interface with internal and external contacts as needed to carry out the functions of the position
  • Work is performed in a climate-controlled office with minimal exposure to safety hazards
REQUIRED QUALIFICATIONS:
  • Associate and at least 3 years of experience, or an equivalent combination of education and experience


PREFERRED QUALIFICATIONS:
  • Bachelor's degree in business or accounting
Salary

Hiring salary range is $44,793.00 - $51,512.00.

Lone Star College provides a hiring salary range for all posted full-time non-faculty positions. Where your salary offer would fall in that range is determined by your related experience and education.
